Job Opening: Assistant to the President

Reporting Relationship:
The Assistant to the President (“AP”) reports directly to the President of Bethany College. The AP works closely with the other Vice Presidents, the Board of Trustees, and the entire community at Bethany College.

Position Objectives:
As an integral member of the leadership team the AP works with the President to assure the smooth, efficient management of all aspects of the college, providing administrative support to the President and the Board of Trustees.  The AP provides support in all areas of office management, working closely with all departments to ensure good communication flow and coordination of activities with the President and all college leadership. The AP performs other related duties as assigned.

Essential Duties/Responsibilities include the following.
President Support:

1. Sort all mail for the President in priority order for more efficient handling.  Handle all mail that does not require the immediate attention of the President, or that may be handled directly by the AP or others.
2. Answer all incoming calls for the President’s office.  Screen calls for expeditious handling. Respond to all calls that do not require the President’s immediate attention, or that require information available to the Assistant or another administrator.
3. Provide all administrative assistance to the President including: drafting and composing needed correspondence and memoranda at the President’s request, including confidential documents.
4. Maintain all files in a retrievable manner and serve as custodian of all confidential President’s office documents, and corporate documents.
5. Maintain the President’s activity and appointment calendar working closely with the President to ensure a comfortable flow of appointments so that good and constant communication is maintained with all department heads, faculty and staff, other leadership, parents and students.
6. As a member of the Administrative Staff, the AP attends regular Administrative Staff meetings.
7. The AP coordinates special functions, e.g., year-end All-Faculty/Staff meetings and lunch, annual Christmas functions, etc., serving as Coordinator for such functions and working with outside resources as well as internal staff for facilities, catering, etc.
8. The AP works closely with the President providing support for major capital campaigns and fund raising efforts, including but not limited to coordinating events in cooperation with the Development office, composing grant requests and other special projects as may be needed.

Essential Duties/Responsibilities continued:
Board of Trustee Support:

1. The AP serves as Recording Secretary to the Board of Trustees, recording and distributing all corporate minutes, and serves as custodian of these minutes as they are official corporate documents.
2. The AP serves as Recording Secretary to the Executive Committee of the Board of Trustees, recording and distributing all minutes of Committee meetings.
3. The AP maintains custodial care of all corporate documents, including minutes of standing committees of the Board of Trustees.  The Corporate Record Copy of all Board of Trustees meetings will include the agenda for each meeting, minutes with backup materials, minutes of each standing committee (not all committees meet monthly) and monthly financial reports for each month in the academic year in which the Board of Trustees meet.
4. The AP maintains an annual calendar of meetings for the Board of Trustees including monthly meeting schedules as well as related activities the Board should be aware of.
5. The AP works closely with the office of the Chairman of the Board of Trustees in planning the annual Board Retreats and serves as coordinator for the Retreat, securing facilities, accommodations, food, speaker’s compensation and so forth.

JOB QUALIFICATIONS- College education equivalent to a Masters Degree preferred, Bachelors considered
- A combination of training, education and experience equivalent to the employment standard above providing required knowledge and abilities to perform the required duties.
- Ability to perform assigned duties with a minimum of supervision, identify problems and implement or recommend solutions, deal professionally and politely with students, staff, faculty, alumni, donors and the public, take responsibility and use good judgment within the scope of authority.
